A.1 Agritourism warning — N.C.G.S. § 99E-32(b)

WARNING

Under North Carolina law, there is no liability for an injury to or death of a participant in an agritourism activity conducted at this agritourism location if such injury or death results from the inherent risks of the agritourism activity. Inherent risks of agritourism activities include, among others, risks of injury inherent to land, equipment, and animals, as well as the potential for you to act in a negligent manner that may contribute to your injury or death. You are assuming the risk of participating in this agritourism activity.

A.2 Equine activity warning — N.C.G.S. § 99E-3(b)

WARNING

Under North Carolina law, an equine activity sponsor or equine professional is not liable for an injury to or the death of a participant in equine activities resulting exclusively from the inherent risks of equine activities. Chapter 99E of the North Carolina General Statutes.

B. Property Access & Visitor Conduct Policy

PROPERTY ACCESS AND VISITOR CONDUCT

1. Our purpose in opening the property

Historic Rural Hill, Inc. is a North Carolina nonprofit corporation that preserves and interprets a historic farm and the surrounding land as a public educational and cultural resource. As part of that charitable and educational mission, and at no charge, we permit members of the public to visit portions of the property during the hours and on the conditions stated below, so that they may experience a historic site and the natural landscape of the North Carolina Piedmont.

Access is offered as a public benefit consistent with our mission. It is not a commercial service, and it is not offered to promote any commercial enterprise.

2. This is a working historic farm — it is not a park

Rural Hill is a working farm and a historic site of approximately 265 acres. It contains livestock and other animals, unimproved and uneven terrain, ponds and water features, historic and deteriorating structures, farm equipment, fencing including electric fencing, wells, culverts, working areas, and areas of active operation. Trails are natural surface, are not maintained to any park or accessibility standard, are not lighted, and may be muddy, steep, obstructed, flooded, or impassable. Weather changes quickly and shelter is limited. Cellular service is not reliable in all areas. There are no lifeguards, no on-site medical staff, and no continuous supervision of the grounds.

Visitors are responsible for their own safety, for the safety of any minor in their care, and for making their own judgment about whether conditions are appropriate for them.

3. When you may be on the property

Public access is permitted only:

while attending a scheduled event for which you hold a valid ticket or registration, subject to that event’s rules; or
with the prior written permission of Historic Rural Hill.

At this time, Historic Rural Hill is not offering open unscheduled public hours.

Notice not to enter. Entry onto the property at any other time, or into any area not open to the public, is not authorized and constitutes trespass. Notice is hereby given, pursuant to N.C.G.S. § 14-159.13, not to enter or remain on the premises except as expressly permitted by this policy.

4. Where you may go

Public access is limited to areas as designated during events which includes the main field, parking, campgrounds, running trails, and other areas which may be designted during specific events..

The following areas are closed to the public at all times except with staff supervision or written permission: barns, stables, livestock pens and working animal areas; the blacksmith shop and forge; equipment and maintenance yards; ponds, dams and spillways; staging, storage and construction areas; private residences and their surroundings; and any area marked as closed, restricted, or authorized personnel only.

5. Conditions of access

By entering the property, you agree that:

You will remain on marked trails and in areas open to the public.
You will not enter, climb on, or interfere with any structure, fence, gate, enclosure, animal, equipment, vehicle, artifact, exhibit, or agricultural crop.
You will not remove, damage, deface, or disturb anything on the property, including plants, timber, pine straw, stone, artifacts, and historic materials.
Children under [16] must be accompanied and supervised by a responsible adult at all times. Adults are responsible for the supervision, conduct, and safety of minors in their care.
You will carry out everything you carry in.
You will comply with all posted signs and with the instructions of Historic Rural Hill staff and volunteers.

6. Prohibited on the property at all times

Hunting, fishing, and trapping · removal of pine straw or other natural materials · firearms and other weapons (see the Weapons Notice) · open flames, campfires, fireworks, and pyrotechnics · smoking, vaping, and all tobacco products (the property is a tobacco-free zone pursuant to Mecklenburg County ordinance) · alcohol and controlled substances, except alcohol lawfully served at a permitted event · motorized vehicles of any kind off designated roads and parking areas, including ATVs, UTVs, dirt bikes and e-bikes · horses and horseback riding without written permission · drones and other unmanned aircraft (see the Drone Policy) · metal detecting, digging, and artifact collection · commercial photography, filming, and drone work without a written agreement · camping and overnight stays without written permission · organized group activities, athletic events, races, tours, and gatherings without written permission · geocaching and installation of any object · pets, except service animals as described in the Service Animal Policy · soliciting, distributing materials, and posting signs.

7. Permission is revocable

Permission to be on the property is a revocable license. It is not a lease, an easement, a right of way, or any interest in the land, and no length of use creates any prescriptive right. Historic Rural Hill may close the property or any part of it at any time, may change hours without notice, and may withdraw permission from any person at any time, with or without cause.

Any person who is asked to leave must leave immediately. A person who has been notified not to enter or remain on the property and who thereafter enters or remains is subject to prosecution for trespass under N.C.G.S. § 14-159.13, and a person who re-enters after having been lawfully removed is subject to prosecution under N.C.G.S. § 14-159.12.

8. Hazards we want you to know about

We want visitors to be aware of the following conditions on the property: uneven and rolling ground; farm ponds with steep, soft banks and no barrier at the water’s edge; an active blacksmith forge with hot metal and open flame; abandoned wells and cisterns; buried and above-ground culverts; electric fencing; deteriorating historic structures that are unsafe to enter; loose stone and washed-out or obstructed sections of trail; farm equipment in active use; hayfields under mowing; ticks, chiggers, venomous snakes, stinging insects, and poison ivy; and, on scheduled dates, black powder firearms demonstrations producing very loud reports.]

10. Emergencies

In an emergency, call 911 and report your location as Historic Rural Hill, 4431 Neck Road Huntersville, NC 28078, with the nearest trail marker or landmark. Then notify staff at 704.875.3113. Report any injury, hazard, or incident to us at infor@ruralhill.net as soon as possible, whether or not anyone was hurt.

11. Groups, research, filming and special requests

Organized groups, school and scout visits, researchers, photographers working commercially, film and video crews, and anyone wishing to use the property outside these terms must contact us in advance at info@ruralhill.net. Written permission and, in most cases, a signed agreement and proof of insurance are required.

What you are entering. Historic Rural Hill is a working historic farm and outdoor event venue. Activities on the property involve risks that cannot be eliminated. By entering the property, attending an event, or participating in any program, you acknowledge and voluntarily assume all risks associated with that presence or participation, including but not limited to:

walking, standing and parking on uneven, unpaved, sloped, wet, muddy, or unimproved ground, in fields, and on natural-surface trails;
contact with or proximity to horses, cattle, sheep, goats, poultry, working dogs and other animals, which are unpredictable and may kick, bite, butt, trample, startle or flee;
blacksmithing, forging, hot metal, sparks, open flame, hearths and cooking fires;
black powder firearms demonstrations, militia and living-history reenactments, artillery, and pyrotechnic effects, which produce very loud reports, smoke, and concussion;
Highland Games heavy athletics, including thrown implements — cabers, hammers, weights and stones — and other athletic competition;
corn maze, hayrides, wagon rides, and agricultural attractions;
historic and period structures, tools, and equipment;
farm equipment, tractors, utility vehicles, and vehicle and pedestrian traffic in parking and access areas;
crowds, queuing, temporary structures, tents, staging, cabling, and amplified sound;
heat, cold, sun, rain, wind, lightning, and other weather;
insects, ticks, wildlife, snakes, and plants including poison ivy;
food and beverage service, and, at permitted events, alcohol service and the conduct of other guests.

Loud noise warning. Scheduled events include black powder firearms and artillery demonstrations and massed pipe bands. Hearing protection is recommended, particularly for children and for people with heart conditions. Do not cross any marked safety line.

Supervise children. Parents and guardians are responsible for supervising minors in their care at all times.

Know your own limits. If you have a medical condition, mobility limitation, sensory sensitivity, or other circumstance that may be affected by any of the above, please contact us in advance at 704.875.3113 / info@ruralhill.net so we can tell you what to expect and what accommodations are available.

Separate written waiver. Participation in certain programs — youth camps, field trips, athletic competition, equine and animal handling, living-history participation, volunteering, and others — requires a separate signed waiver, release and assumption of risk agreement, and for minors a parent or guardian agreement. Those documents govern participation in those programs.

TICKET TERMS AND CONDITIONS

1. Who you are buying from. Tickets to events at Historic Rural Hill, including the Loch Norman Highland Games, are sold by Historic Rural Hill, Inc., a North Carolina nonprofit corporation. Our ticketing partners: Eventbrite and Stride Events act as our authorized ticketing and payment agents. Your contract for admission is with Historic Rural Hill, Inc. Questions about your order, your admission, or a refund should come to us at 704.875.3113/info@ruralhill.net, not to the platform.

2. Total price. All ticket prices shown on our websites and in our advertising are the total price you will pay, including all mandatory service and processing fees. Applicable sales taxes and ticketing or service fees and any optional add-ons you choose are shown separately before you complete your purchase.

3. A ticket is a revocable license. Your ticket is a revocable license granting one person one-time admission to the stated event on the stated date. It is not a property interest and conveys no rights other than admission. It may be revoked, and admission refused or terminated, at any time in accordance with these terms.

4. Authorized points of sale. Tickets are sold only at ruralhill.net, lochnorman.com, our Eventbrite page, and the on-site box office. We do not sell speculative tickets — we sell only tickets we hold. Tickets purchased from any other source, including resale marketplaces, social media and individuals, are not guaranteed valid, will not be replaced or refunded by us, and may be refused at the gate. We may limit the number of tickets one person or household may purchase and may void orders that circumvent that limit or that are placed using automated software.

5. Rain or shine; refunds. Events are held rain or shine. All tickets are non-refundable unless the event is cancelled.

6. Changes to the event. We may change or substitute the date, start and end times, schedule, program, performers, competitors, vendors, site layout, and entry points, and may impose capacity limits. Changes of this kind are not grounds for a refund unless they amount to a material change as described in the Refund Policy.

7. Admission, inspection and conduct. Admission is conditioned on your agreement to the Event Rules, which are incorporated into these terms and include consent to inspection of bags and personal belongings. We may refuse admission to, or remove from the property without refund, any person who: refuses inspection; brings a prohibited item; is intoxicated or impaired; behaves in a manner that is unsafe, disruptive, harassing or unlawful; violates these terms or the Event Rules; disregards staff instructions; or obtained a ticket by misrepresentation.

8. Assumption of risk. By purchasing a ticket and by entering the property, you acknowledge and assume the risks described in our Assumption of Risk & Safety Notice, including the statutory warnings reproduced there, for yourself and for any minor in your care.

9. Photography and recording. By entering, you consent to being photographed, filmed and recorded, and to our use of that material, as described in our Photography, Filming & Recording Policy.

10. Minors. Children age 5 and under are admitted without charge. Guests under 16 must be accompanied by an adult 18 or older. Participation by a minor in any competition, camp, workshop, or hands-on activity requires a separate parent or guardian agreement.

11. Accessibility. See our Accessibility Statement. For accessible parking, seating, or any other accommodation, contact us at 704.875.3113 / info@ruralhill.net at least [7] days before the event so we can make arrangements.

12. Lost, damaged, stolen and duplicated tickets. We are not responsible for tickets that are lost, stolen, damaged, or destroyed, or for tickets that have been duplicated. Admission is granted on the first valid scan of a ticket; subsequent presentations of the same ticket will be refused.

13. Payment and chargebacks. Payment is processed by our ticketing partners through their secure hosted payment systems. Historic Rural Hill does not collect, process, or store your payment card information. If you believe you are entitled to a refund, please request it from us first in accordance with the Refund Policy. Initiating a payment-card chargeback without first requesting a refund may result in cancellation of your order and denial of admission.

14. Tax deductibility.

(a) General admission sold at fair market value — no donative element:

Ticket purchases are not tax-deductible as charitable contributions.

(b) Fundraising-event ticket over $75 with a donative element:

Tickets will describe the portion of tickets that is applicable as a donation in addition to the products and services included in your ticket. Historic Rural Hill, Inc. is a 501(c)(3) organization. Please consult your tax advisor.

(c) Gifts of $250 or more — IRC § 170(f)(8) acknowledgment. Send a written acknowledgment stating the organization’s name, the amount of the cash contribution (or a description, but not the value, of property contributed), and either that no goods or services were provided in return, or a description and good faith estimate of the fair market value of what was provided.

15. Limitation of liability. To the fullest extent permitted by North Carolina law, and except for liability that cannot lawfully be limited — including liability for gross negligence, willful or wanton conduct, or intentional acts — the total liability of Historic Rural Hill, Inc. arising out of your ticket purchase is limited to the amount you paid for the ticket, and we are not liable for indirect, incidental, consequential, special, or punitive damages, or for lost profits, travel costs, lodging costs, or other expenses incurred in connection with attending an event.

16. Governing law and venue. These terms are governed by the laws of the State of North Carolina, without regard to its conflict of laws principles. Any dispute shall be brought exclusively in the state courts located in Mecklenburg County, North Carolina, or in the United States District Court for the Western District of North Carolina, Charlotte Division.

17. Severability and conflicts. If any provision is held unenforceable, it will be modified to the minimum extent necessary to make it enforceable, or severed, and the remaining provisions stay in effect. If these Ticket Terms conflict with our general Terms of Use, these Ticket Terms control as to your ticket. A separate signed waiver or participation agreement controls as to the activity it covers.

E. Refund, Weather & Cancellation Policy

REFUND, WEATHER AND CANCELLATION POLICY

Events are held rain or shine. Our events take place outdoors on a working farm and proceed in most weather. Rain, heat, cold, wind, or mud that does not cause us to cancel the event is not grounds for a refund.

Safety suspensions. When lightning is detected in the area, or when conditions otherwise become unsafe, activities are suspended and resume when the danger has passed. A suspension is not a cancellation and is not grounds for a refund.

All ticket sales are otherwise final. We do not refund or exchange tickets because of a change of plans, illness, travel disruption, or inability to attend, and we do not refund partially used tickets or tickets for guests who arrive after gates close.

We will refund you if:

we cancel the event, or the event is not substantially performed;
we postpone the event and do not reschedule it within 90 days;
we fail to provide the advertised goods and services, or the event as held is significantly different from the event described when you purchased;
you are unable to attend because of a failure in our capacity planning or an inability to provide access to the venue; or
your order is determined to be fraudulent.

Material changes. A material change is a change that goes to the substance of what you purchased — for example, cancellation of the event or relocation to a different venue. Changes to the schedule, individual performers or competitors, the order of events, site layout, vendor lineup, or start and end times are not material changes.

How to request a refund. Email info@ruralhill.net or call 704.875.3113 with your order number, the name on the order, the event name and date, and the reason for the request. Requests must be received within [30] days of the affected event date. We will respond to every refund request within five (5) business days. Approved refunds are returned to the original payment method and typically appear within [5–10] business days depending on your bank.

Cancelled-event notice. If we cancel or postpone an event we will notify ticket holders by email at the address on the order and post notice on https://ruralhill.net and on our social media channels. Please make sure the email address on your order is correct.

Donations. Donations, including any donation added at checkout, are not refundable.

Tickets purchased elsewhere. We can only refund tickets purchased through our authorized points of sale. We cannot refund tickets purchased from resellers, marketplaces, or individuals.

F. Photography, Filming & Recording Policy

PHOTOGRAPHY, FILMING AND RECORDING

We photograph and record at our events and on our property. Historic Rural Hill, Inc., together with our staff, volunteers, contractors, media partners and licensees, photographs, films and records at events and on the property.

Your consent. By entering the property or attending an event, you grant Historic Rural Hill, Inc. an irrevocable, perpetual, worldwide, royalty-free, non-exclusive license to use, reproduce, edit, publish, distribute and display your name, image, likeness, voice and statements, in whole or in part, in any medium now known or later developed, for our promotional, fundraising, educational, archival and news purposes, without further notice, review, approval or compensation. You waive any right to inspect or approve the finished materials and release Historic Rural Hill, Inc. and those acting under its authority from all claims arising out of such use, including claims for invasion of privacy, appropriation of name or likeness, defamation, and right of publicity.

If you prefer not to be photographed. You may also ask us at any time to remove an image of you from our website or social media by emailing info@ruralhill.net with a description or link, and we will honor reasonable requests promptly.

Children. We do not publish a child’s full name alongside their image, and we do not tag or identify minors in public posts. Parents and guardians registering a child for a camp, field trip, or youth program are asked to complete a separate photo release, with an opt-out box, in the registration packet. If you see an image of your child that you would like removed, email info@ruralhill.net and we will remove it. Children participating in athletic events may be identified in written published materials.

Personal photography is welcome. You may take photographs and video for your own personal, non-commercial use. Please be considerate of other guests, competitors and performers, do not obstruct pathways or sightlines, and follow the instructions of staff and competition officials.

Commercial, media and professional photography — including engagement, wedding, portrait, senior and pet sessions, and any use of professional lighting, tripods or crews — requires a written agreement with Historic Rural Hill in advance. Contact info@ruralhill.net. Media credentials for working press are available at info@ruralhill.net.

Drones are prohibited without written permission. See our Drone & Unmanned Aircraft Policy.

Featured use. If we would like to feature you specifically in a testimonial, an advertisement, on merchandise, or as the primary subject of a promotional image we will ask you to sign a separate release first.

G. Event Rules — Prohibited Items, Bag Inspection & Conduct

EVENT RULES

Bag inspection. Entry is conditioned on your consent to inspection of bags, containers, coolers and personal belongings. Refusal of inspection is grounds for denial of entry without refund.

Not permitted at events:

Weapons of any kind including firearms, knives, and any object that could be used as a weapon. Ceremonial weapons are permitted at certain events including the Loch Norman Highland Games.
Alcohol brought from outside may be restricted by event.
Large yard umbrellas, canopies, and tents (personal handheld umbrellas are fine) in event areas, but may be used in permitted areas and areas that do not block guests and attendees.
Drones and other unmanned aircraft
Fireworks, pyrotechnics, open flames, portable grills, and camp stoves
Tobacco products, smokeless tobacco, e-cigarettes and vaping devices — the property is a tobacco-free zone pursuant to Mecklenburg County ordinance
Illegal drugs and controlled substances
Bicycles, scooters, skateboards, hoverboards, e-bikes, ATVs, UTVs and golf carts, except mobility devices used by a person with a disability
Laser pointers, amplified sound equipment, and musical instruments not part of a scheduled program
Commercial photography and filming equipment without a written agreement
Merchandise, food, or services offered for sale by anyone other than an approved vendor; solicitation, petitioning, leafleting, and unapproved signage
Anything else that our staff reasonably determines could compromise safety

Permitted: folding lawn chairs and blankets · handheld umbrellas · strollers and wagons · sealed plastic water bottles and empty refillable bottles · sunscreen and insect repellent · personal cameras and phones for personal use.

Conduct. Guests are expected to behave safely and considerately. We may refuse entry to, or remove from the property without refund, any person who behaves in an unsafe, disruptive, threatening, harassing, discriminatory or unlawful manner, who is intoxicated or impaired, who enters a restricted area, who interferes with an animal, competitor, performer or demonstration, or who disregards the instructions of staff, volunteers, or officials.

Alcohol. Where alcohol is served at a permitted event, it is served only by our licensed and permitted servers, only in designated areas, and only to persons 21 and over with valid photo identification. We will refuse service to anyone who appears intoxicated or who cannot produce identification. Please arrange a designated driver or a ride.

Parking and traffic. Parking is on grass and unimproved surfaces and is at your own risk. Follow the directions of parking staff. Do not park on roadways, in fire lanes, in front of gates, or in accessible spaces without a valid placard or plate. We are not responsible for damage to or theft from vehicles.

Lost and found: Contact us at 704.875.3113 / info@ruralhill.net. Unclaimed items are held for 30 days.

Safety lines. Athletic competitions, animal events, and black powder demonstrations have marked safety lines and standoff areas. Do not cross them. Thrown implements travel unpredictably and firearms demonstrations produce very loud reports.

Re-entry: Re-entry for permitted events is allowed by armband or other ticketing issued for the event.

H. Weapons Notice

WEAPONS NOTICE

Historic Rural Hill is private property.

Pursuant to N.C.G.S. § 14-415.11(c), notice is hereby given that carrying a concealed handgun on these premises is prohibited. The open carry or possession of any firearm, knife, or other weapon on the property is also prohibited.

This prohibition does not apply to sworn law enforcement officers acting in the performance of their duties, or to antique and replica firearms and edged weapons used by authorized participants in scheduled living-history demonstrations, competitions and performances under the supervision, guests with ceremonial weapons at prescribed events, and written safety protocols of Historic Rural Hill.

Any person who declines to comply will be asked to leave the property, and a person who remains after being asked to leave is subject to prosecution for trespass under N.C.G.S. § 14-159.13.

I. Drone & Unmanned Aircraft Policy

DRONES AND UNMANNED AIRCRAFT

Operation of drones and other unmanned aircraft over or from Historic Rural Hill property is prohibited without prior written authorization from Historic Rural Hill. This applies to guests, vendors, wedding parties and clients, media, and contractors.

To request authorization, contact 704.875.3113 / info@ruralhill.net at least 14 days in advance. Authorized operators must:

hold a current FAA Part 107 Remote Pilot Certificate;
comply with 14 C.F.R. Part 107, including Subpart D governing operations over people and open-air assemblies, and with Remote ID requirements;
obtain any required ATC authorization for controlled airspace;

SERVICE ANIMALS

Service animals are welcome.

Trained service animals as defined by the Americans with Disabilities Act, and service animals in training accompanied by their trainer as provided by N.C.G.S. § 168-4.2, are welcome anywhere the public is allowed on this property.

Emotional support, comfort and therapy animals are not service animals under the ADA and are not permitted.

What our staff may ask. Where it is not obvious what service an animal provides, our staff may ask only two questions: (1) Is the dog a service animal required because of a disability? (2) What work or task has the dog been trained to perform? We will not ask about your disability, request documentation, require an ID card or certification, or ask the animal to demonstrate a task.

Control and care. Service animals must be harnessed, leashed or tethered unless those devices interfere with the animal’s work or your disability prevents their use, in which case you must maintain control by voice, signal or other effective means. Handlers are responsible for the care and supervision of their animal. There is no surcharge for a service animal.

When an animal may be excluded. We may ask that an animal be removed only if it is out of control and the handler does not take effective action, or if it is not housebroken, or if it poses a direct threat to health or safety based on an individualized assessment. If an animal is excluded, you remain welcome, and we will do our best to serve you.

Please plan for a working farm. Livestock, horses and working dogs are present. For your service animal’s safety and comfort, we recommend keeping it under close control near animal enclosures, and we are glad to suggest alternate routes or viewing locations during sheepdog trials, livestock events and black powder demonstrations. These are recommendations, not restrictions.

Pre-approved program animals. Certain scheduled programs, such as the Parade of Scottish Dog Breeds, admit pre-registered dogs. Those animals are admitted only for that program and under its rules.

Our commitment. Historic Rural Hill is committed to making our websites, our events, and our property usable by everyone, including people with disabilities.

Our websites. We work toward substantial conformance with the Web Content Accessibility Guidelines (WCAG) 2.1 Level AA, and we also review our work against WCAG 2.2 Level AA. We describe our sites as partially conformant, meaning some content does not yet fully meet the standard.

Known limitations. Our ticket checkout is provided by third-party platforms whose accessibility we do not control; archived event programs published as PDFs may not be fully tagged; some historic photographs and user-submitted images lack descriptive alternative text; some older video content lacks captions.

If anything on this site is a barrier for you, we will help you directly. Visiting the property. Rural Hill is a historic working farm with significant accessibility challenges, and we would rather tell you plainly what to expect than surprise you.

Surfaces: most of the site is grass, gravel, dirt and unimproved ground. Trails are natural-surface and are not accessible.
Grades: the site is rolling, with slopes in most areas.
Accessible parking: located at 4431 Neck Road, on GRASS, approximately 200 feet from the main gate.
Shuttle / cart service: Cart service is available for specific events, including the Loch Norman Highland Games.
Accessible restrooms: Accessible restrooms are provided for events in event areas.
Seating: Accessible seating is provided on the main field during specific events, including the Loch Norman Highland Games and the Sheepdog Trials.
Historic structures: some period buildings cannot be modified and are not accessible.
Quiet and low-stimulation areas: Generally these are not available. Note that black powder demonstrations and massed pipe bands are very loud.

This policy explains how Historic Rural Hill, Inc. (“Rural Hill,” “we,” “us”) collects, uses and shares personal information through ruralhill.net and lochnorman.com, through our ticketing and registration platforms, and in connection with our events, programs and fundraising.

1. Information we collect

You give us: name; email address; postal address; telephone number; the names and ages of family members or program participants you register; emergency contact information; dietary, medical, allergy and accessibility information you choose to provide for a program; ticket, registration, membership and donation history; competition and clan affiliation information; vendor, volunteer and employment application information; messages you send us; and your communication preferences.

Collected automatically when you use our sites: IP address and approximate location derived from it, device and browser type, operating system, referring page, pages and content viewed, links clicked, dates and times of access, and cookie and similar identifiers. See our Cookie & Tracking Policy.

From our platforms and partners: order and attendee details from Eventbrite and Stride Events; payment confirmation (but not card numbers) from our payment processors; and information from schools, clan societies, tour operators and group organizers who register participants on their behalf.

On site: photographs, video and audio recordings taken at our events and on the property (see our Photography Policy); and incident, injury and security reports where applicable.

We do not collect or store your payment card information. All payments are handled by our ticketing partners’ PCI DSS-compliant hosted payment systems. Card details are entered directly into the payment provider’s secure form and are never transmitted to or stored on Rural Hill’s systems.

2. How we use it

To sell and fulfill tickets, registrations and merchandise orders; to admit you to events and operate them safely; to run camps, field trips, competitions and volunteer programs; to communicate with you about your orders and about events you have registered for; to send newsletters, event announcements and fundraising appeals where you have asked to receive them; to process and acknowledge donations and memberships and to meet our tax and reporting obligations; to steward donors and members; to answer your questions; to understand how our sites are used and improve them; to promote our events and mission, including advertising; to maintain the safety and security of our property, our guests and our staff; to keep accounting, insurance and incident records; and to comply with the law.

3. How we share it

We do not sell your personal information for money.

How your information moves between our ticketing platforms. If you purchase tickets or register through Eventbrite, we import your order and contact information into Stride Events, which we use as our customer relationship management system and to send the email and text communications you have opted into. If you purchase through Stride Events, that information is already held there. In both cases Rural Hill controls the information and is responsible for how it is used.

Advertising. We use the Meta pixel and Google advertising tools, which means information about your visit to our sites may be shared with Meta and Google and used to show you our advertising and to measure whether it worked. Under some state privacy laws this may be considered “targeted advertising” or a “sale” of personal information. You can opt out — see Section 6.

4. Retention

We keep personal information only as long as we need it for the purposes described above, and then delete or de-identify it. In general: ticketing and order records — 7 years for accounting and tax purposes; donor and membership records — indefinitely for stewardship and IRS substantiation, unless you ask us to delete them; newsletter and SMS subscriber records — until you unsubscribe plus 3 months to honor your opt-out; website analytics — 14 months; camp, field trip and youth program records, including registrations, waivers and incident reports — retained long-term because claims arising from childhood injury may be brought many years later; photographs and video — indefinitely, as part of our historical archive.

5. Security

We maintain reasonable administrative, technical and physical safeguards designed to protect personal information, and we require our vendors to do the same. No system is perfectly secure. We maintain a written policy for the secure destruction of records containing personal information, as required by N.C.G.S. § 75-64. If a security breach affecting your personal information occurs, we will notify you and the North Carolina Attorney General’s Office as required by N.C.G.S. § 75-65.

6. Your choices and rights

Email: every newsletter and promotional email has an unsubscribe link at the bottom. You can also email info@ruralhill.net. We honor unsubscribes within 10 business days. We will still send you transactional messages about orders you have placed.

Text messages: reply STOP to any message, or contact us at 704.875.3113 / info@ruralhill.net. We honor opt-outs across all of our text programs, not just the one you replied to.

Cookies and tracking: use the Cookie Settings link in our footer. We honor Global Privacy Control (GPC) and similar browser opt-out signals — if your browser sends one, we treat it as an opt-out of targeted advertising.

We extend the following rights to everyone who contacts us, regardless of where you live:

Delete your personal information
Port — receive a copy in a portable, machine-readable format
Opt out of targeted advertising, of any sharing that constitutes a sale, and of profiling

If we deny your request, you may appeal by replying to our decision or emailing info@ruralhill.net with “Appeal” in the subject line. We will decide the appeal within 60 days and explain our reasoning in writing. If we deny the appeal, you may contact the Consumer Protection Division of the North Carolina Attorney General’s Office, or the attorney general of your state.

7. Children’s privacy

Our websites are intended for a general audience and are not directed to children under 13. We do not knowingly collect personal information online from children under 13.

Registrations for our school field trips, youth camps and other youth programs must be completed by a parent, legal guardian, or authorized school representative. Any information about a child that we receive through those registrations is collected from an adult; is used only to operate the program the child is enrolled in, to keep the child safe, and to contact the responsible adult; is never used for targeted advertising; is never sold or shared with third parties for their own purposes; and is retained as described in Section 4.

We photograph and record video at our events for promotional and archival purposes. Parents and guardians may opt a child out by contacting us at info@ruralhill.net or by notifying event staff on site. We do not publish a child’s full name with their image and we do not tag or identify minors in public posts.

If you believe a child under 13 has provided us with personal information online, please contact us at info@ruralhill.net and we will delete it promptly.

8. Visitors from the United Kingdom and the European Union

If you are in the UK or the EU:

Our legal bases for processing are: performance of a contract (ticketing, registration and orders); your consent (marketing email and text messages, and non-essential cookies); our legitimate interests (site security, fraud prevention, and understanding how our sites are used); and compliance with legal obligations.

Transactional email. We will always send you the emails you need about an order you placed — your tickets, your receipt, changes to an event you’re attending, gate instructions. These are not marketing and you cannot unsubscribe from them while you hold a ticket.

Text messages. We only send marketing texts to people who have specifically asked for them by checking the SMS box. Buying a ticket does not sign you up for texts. 1. Agreement. These Terms govern your use of ruralhill.net, lochnorman.com and any other website operated by Historic Rural Hill, Inc. By using these sites you agree to them. If you do not agree, please do not use the sites.

2. Other terms that may apply. Ticket purchases are also governed by our Ticket Terms & Conditions and Refund, Weather & Cancellation Policy. Visiting the property is governed by our Property Access & Visitor Conduct Policyand Event Rules. Program participation may require a separate signed waiver or participation agreement. Where those documents conflict with these Terms, the more specific document controls for its subject matter.

3. Permitted use. You may use these sites for their intended purposes — learning about Rural Hill, buying tickets and merchandise, registering for programs, donating, and contacting us. You may not: use the sites unlawfully or to harm anyone; scrape, harvest, or systematically extract content or contact information; use bots, scripts or automated tools to purchase tickets or circumvent purchase limits or other security measures; probe, scan or test the security of the sites; introduce malicious code; impersonate anyone; or interfere with the sites’ operation.

IMPLEMENTATION NOTE: the ticket-bot prohibition tracks the federal BOTS Act (15 U.S.C. § 45c) and N.C.G.S. § 14-344.2, which makes ticket-purchasing software an unfair trade practice and gives venues a private right of action.

4. Accounts. If you create an account you are responsible for keeping your credentials secure and for activity under your account. Tell us promptly at info@ruralhill.net if you believe your account has been compromised.

5. Content you submit. If you submit photographs, comments, stories, competition entries or other material, you keep ownership of it and you grant Historic Rural Hill, Inc. a non-exclusive, royalty-free, worldwide, perpetual license to use, reproduce, edit, publish and display it in connection with our mission, our events and our archives. You confirm you have the right to grant that license, that the material does not infringe anyone’s rights, and that anyone identifiable in it has consented. We may remove submitted content for any reason. Do not submit anything unlawful, infringing, defamatory, harassing, or containing another person’s private information.

6. Third-party services and links. Our sites link to and embed third-party services including Eventbrite, Stride Events, social media platforms and video platforms. We do not control them and are not responsible for their content, terms or privacy practices.

7. No warranty. The sites and their content are provided “as is” and “as available.” We do not warrant that the sites will be uninterrupted or error-free, or that all content is accurate or current. Event details, schedules, prices and program information change; we do our best to keep the sites current but do not guarantee it.

8. Limitation of liability. To the fullest extent permitted by North Carolina law, Historic Rural Hill, Inc. and its directors, officers, employees and volunteers are not liable for indirect, incidental, consequential, special, exemplary or punitive damages arising from your use of the sites, and our total liability arising from your use of the sites is limited to the greater of $100 or the amount you paid us in the twelve months before the claim. Nothing in these Terms limits liability that cannot lawfully be limited, including liability for gross negligence, willful or wanton conduct, intentional acts, or personal injury or death to the extent North Carolina law prohibits such a limitation.

9. Indemnity. You agree to indemnify Historic Rural Hill, Inc. against claims, damages and reasonable costs arising from your violation of these Terms, your misuse of the sites, or content you submit.

10. Governing law and venue. North Carolina law governs, without regard to its conflict of laws principles. Any dispute shall be brought exclusively in the state courts located in Mecklenburg County, North Carolina, or in the United States District Court for the Western District of North Carolina, Charlotte Division.

11. Changes. We may update these Terms. We will change the version and date, and post material changes prominently. For material changes affecting purchases or registrations, we will ask you to agree again at your next transaction. Continued use of the sites after a change means you accept the updated Terms.
